Billing & Subscriptions


Manage your subscription, payment methods, and billing information.


Viewing Your Subscription


Current Plan


  1. Go to SettingsBilling (or AdminSubscription)
  2. See your current plan:
  • Plan name
  • Subscription status (Active, Trial, Expired)
  • Trial days remaining (if applicable)
  • Next billing date
  • Payment method on file


Subscription Status


Active:

  • Subscription is active
  • Full access to plan features
  • Automatic renewal enabled


Trial:

  • Currently on trial period
  • Full access during trial
  • Will convert to Free plan after trial (unless upgraded)


Expired:

  • Subscription has expired
  • Limited to Free plan features
  • Can reactivate by upgrading


Changing Your Plan


Upgrading


Move to a higher plan:


  1. Go to SettingsBilling
  2. Click "Upgrade" or "Change Plan"
  3. Select new plan
  4. Review plan features
  5. Enter payment information (if needed)
  6. Confirm upgrade
  7. Immediate Access: New features available immediately


Downgrading


Move to a lower plan:


  1. Go to SettingsBilling
  2. Click "Change Plan" or "Downgrade"
  3. Select lower plan
  4. Review what you'll lose:
  • Modules that won't be available
  • User limits
  • Feature restrictions
  1. Confirm downgrade
  2. Effective Date: Changes apply at next billing cycle or immediately (varies)


Warning: Downgrading may deactivate modules and limit users. Review impact before confirming.


Payment Methods


Adding Payment Method


  1. Go to SettingsBilling
  2. Find "Payment Method" section
  3. Click "Add Payment Method" or "Update Card"
  4. Enter card details:
  • Card number
  • Expiration date
  • CVV
  • Billing address
  1. Click "Save"
  2. Card saved securely via Stripe


Updating Payment Method


  1. Go to SettingsBilling
  2. Click "Update Payment Method" or "Change Card"
  3. Enter new card details
  4. Save
  5. New card used for future payments


Removing Payment Method


Note: You typically need a payment method for paid plans. Removing may affect subscription.


Billing History


Viewing Invoices


  1. Go to SettingsBilling
  2. Click "Billing History" or "Invoices"
  3. See all past invoices:
  • Invoice number
  • Date
  • Amount
  • Status (Paid, Pending, Failed)
  • Description


Downloading Invoices


  1. Open invoice from billing history
  2. Click "Download PDF" or "View Invoice"
  3. PDF invoice generated
  4. Save or print


Cancelling Subscription


How to Cancel


  1. Go to SettingsBilling
  2. Find "Subscription" section
  3. Click "Cancel Subscription"
  4. Confirm cancellation
  5. Access Continues: You keep access until end of billing period
  6. No Renewal: Subscription won't renew


After Cancellation


  • Access Until End: Continue using until billing period ends
  • Data Retained: Your data kept for retention period
  • Export Available: Export your data anytime
  • Can Reactivate: Can resubscribe anytime


Reactivating


  1. Go to SettingsBilling
  2. Click "Reactivate" or "Resubscribe"
  3. Select plan
  4. Enter payment information
  5. Confirm
  6. Access restored immediately


Add-ons


Module Add-ons


Purchase additional modules:


  1. Go to SettingsBillingAdd-ons
  2. Click "Module Add-ons"
  3. Select modules to add
  4. Review pricing
  5. Complete purchase
  6. Modules activated immediately


User Add-ons


Add more users:


  1. Go to SettingsBillingAdd-ons
  2. Click "User Add-ons"
  3. Select number of users
  4. Review pricing
  5. Complete purchase
  6. User limit increased immediately


Managing Add-ons


View Active Add-ons:

  • See all purchased add-ons
  • View add-on details
  • See renewal dates


Remove Add-ons:

  1. Find add-on in list
  2. Click "Remove" or "Cancel"
  3. Confirm removal
  4. Add-on removed at end of billing period


Billing Information


Updating Billing Address


  1. Go to SettingsBilling
  2. Find "Billing Address" section
  3. Update address fields
  4. Save


Tax Information


If applicable:

  1. Go to SettingsBilling
  2. Find tax information section
  3. Enter tax ID or VAT number
  4. Save


Payment Issues


Payment Failed


What Happens:

  • Email notification sent
  • System may retry automatically
  • Access may be limited if payment overdue


Solutions:

  1. Update Payment Method: Add new card
  2. Check Card: Verify card is valid
  3. Contact Support: If issue persists
  4. Check Email: Look for payment failure notice


Disputed Charges


If you see an unexpected charge:

  1. Check Billing History: Review all charges
  2. Verify Dates: May be different billing periods
  3. Contact Support: Explain the issue
  4. Provide Details: Share transaction IDs


Best Practices


  1. Keep Card Updated: Update expired cards promptly
  2. Monitor Billing: Check billing history regularly
  3. Set Reminders: Remind yourself of renewal dates
  4. Export Data: Export important data regularly
  5. Review Plans: Periodically review if plan meets needs
  6. Contact Support: Ask questions before making changes


Troubleshooting


Can't see billing page?

  • Check you have admin access
  • Verify subscription is active
  • Try refreshing page
  • Contact support


Payment method not saving?

  • Check card details are correct
  • Verify card is valid
  • Try different browser
  • Check Stripe connection


Invoice not generating?

  • Check payment was processed
  • Verify subscription is active
  • Contact support if missing
