Reminders


Set reminders on any CRM entity (contacts, companies, leads) to never miss a follow-up or important date.


What are Reminders?


Reminders are notifications for important dates and tasks. Set a reminder and get notified (email, in-app, or both) when it's time to take action.


Why Use Reminders?


Benefits:

  • Improve Relationships: Timely follow-ups

Setting a Reminder


Quick Create


  1. Open Record: Go to contact, company, or lead
  2. Click "Set Reminder": Reminder button
  3. Configure Reminder:
  • Date & Time: When to be reminded
  • Type: Call, email, meeting, etc.
  • Description: What to do
  • Notify: Email, in-app, or both
  1. Save: Reminder created


Reminder Types


Common Types:

  • Call: Follow-up call
  • Email: Send email
  • Meeting: Schedule meeting
  • Follow-up: General follow-up
  • Contract Renewal: Renewal date
  • Payment Due: Payment reminder
  • Custom: Your own reminder type


Reminder Configuration


Date & Time


Set when to be reminded:

  • Date: Select date
  • Time: Select time (optional)
  • Timezone: Uses your profile timezone


Description


What to do:

  • Clear Description: "Call to discuss proposal"
  • Include Context: "Follow up on Q4 project"
  • Action Items: "Send contract renewal"


Notification Methods


Choose how to be notified:

  • Email: Receive email reminder
  • In-App: See notification in app
  • Both: Email and in-app


Viewing Reminders


From Record


  1. Open Record: Contact, company, or lead
  2. Reminders Tab: See all reminders for record
  3. View Details: Click reminder to see details
  4. Edit/Delete: Manage reminders


All Reminders


View all your reminders:

  1. Go to Dashboard or Reminders (if available)
  2. See upcoming reminders
  3. Filter by date, type, entity
  4. Manage reminders


Managing Reminders


Editing Reminders


  1. Open Reminder: Click reminder
  2. Click "Edit": Edit button
  3. Make Changes: Update date, time, description
  4. Save: Changes saved


Completing Reminders


Mark reminder as done:

  1. Open Reminder: Click reminder
  2. Click "Complete": Mark complete
  3. Reminder Archived: Moved to completed
  4. Add Notes: Optional completion notes


Deleting Reminders


Remove reminder:

  1. Open Reminder: Click reminder
  2. Click "Delete": Delete button
  3. Confirm: Confirm deletion
  4. Reminder Removed: Permanently deleted


Recurring Reminders


Set reminders that repeat:


  1. Create Reminder: Set up reminder
  2. Enable Recurring: Toggle recurring
  3. Set Frequency:
  • Daily
  • Weekly
  • Monthly
  • Yearly
  • Custom interval
  1. Set End Date: When to stop (optional)
  2. Save: Recurring reminder created

  • Weekly check-ins
  • Monthly reviews
  • Annual renewals
  • Regular follow-ups


Reminder Notifications


Email Reminders


Receive email when reminder is due:

  • Subject: Reminder description
  • Content: Record details and reminder info
  • Action Links: Quick links to record


In-App Reminders


See notification in app:

  • Notification Bell: Top navigation
  • Reminder List: All upcoming reminders
  • Click to View: Open record from notification


Notification Timing


Reminders sent:

  • On Time: At the set date/time
  • Before: Can set advance notice (e.g., 1 day before)
  • Multiple: Can set multiple reminders for same event


Best Practices


  1. Set Immediately: Set reminders right after interactions
  2. Be Specific: Clear descriptions of what to do
  3. Use Types: Categorize reminders by type
  4. Set Advance Notice: Remind before important dates
  5. Complete Promptly: Mark done when completed
  6. Review Regularly: Check upcoming reminders
  7. Use Recurring: For regular tasks


Common Reminder Scenarios


Follow-Up Call


Setup:

  1. After meeting with contact
  2. Set reminder for 2 days later
  3. Type: "Call"
  4. Description: "Follow up on proposal discussion"
  5. Notify: Email + In-app


Contract Renewal


Setup:

  1. On company record
  2. Set reminder for renewal date
  3. Type: "Contract Renewal"
  4. Description: "Renew annual contract with [Company]"
  5. Recurring: Yearly
  6. Notify: Email


Lead Follow-Up


Setup:

  1. On lead record
  2. Set reminder for next day
  3. Type: "Follow-up"
  4. Description: "Call lead about proposal"
  5. Notify: In-app


Payment Follow-Up


Setup:

  1. On invoice/company
  2. Set reminder for due date
  3. Type: "Payment Due"
  4. Description: "Follow up on invoice payment"
  5. Notify: Email

Troubleshooting


Reminder not sending?

  • Check SMTP settings configured
  • Verify notification preferences

  • Try refreshing page
  • Check date is in future


Reminder sent at wrong time?

  • Check timezone settings
  • Verify reminder time
