Project Collaboration


Work effectively with your team on projects using assignments, comments, mentions, and notifications.


Collaboration Features


SWELLEnterprise provides several ways to collaborate on projects:


  • Task Assignments: Assign work to team members
  • Comments: Discuss tasks and projects
  • @Mentions: Tag team members in comments
  • Notifications: Stay informed of updates
  • File Sharing: Share files on projects and tasks


Assigning Tasks


Assign to Team Member


  1. Create/Edit Task: Open task
  2. Assignee Field: Select team member from dropdown
  3. Save: Task assigned
  4. Notification: Assignee receives notification (if configured)


Multiple Assignees


If supported:

  • Assign to multiple people
  • All receive notifications
  • All can update task
  • All see task in their list


Unassigned Tasks


  • Tasks can be unassigned
  • Show in "Unassigned" view
  • Can assign later
  • Useful for task backlog


Task Comments


Adding Comments


Collaborate on tasks:


  1. Open Task: Click task to view details
  2. Comments Section: Find comments area
  3. Type Comment: Enter your message
  4. @Mention: Tag team members with @username
  5. Save: Comment added
  6. Notifications: Mentioned users notified


Comment Features


Rich Text:

  • Format text (bold, italic, etc.)
  • Add links
  • Use emojis


Attachments:

  • Attach files to comments
  • Share documents
  • Include images


Editing:

  • Edit your comments
  • Delete comments (if permitted)
  • Reply to comments


@Mentions


Mentioning Team Members


Tag team members in comments:


  1. Type @: Start typing @ in comment
  2. Select User: Choose from dropdown
  3. Complete Comment: Finish your message
  4. Save: User mentioned
  5. Notification: Mentioned user notified


When to @Mention


Use @Mentions When:

  • Asking someone a question
  • Assigning work in comment
  • Requesting review
  • Notifying of important update
  • Drawing attention to task


Example:

@john Can you review this task? I've added the design files.


Project Team


Adding Team Members


  1. Open Project: Go to project
  2. Team Section: Find "Team Members" or "Collaborators"
  3. Add Member: Click "Add Team Member"
  4. Select User: Choose from team
  5. Assign Role: Set role (if applicable)
  6. Save: Member added


Team Roles


Manager:

  • Project owner
  • Full access
  • Can manage team


Member:

  • Team member
  • Can work on tasks
  • Standard access


Viewer:

  • Read-only access
  • Can view but not edit
  • Limited permissions


Notifications


Notification Types


Receive notifications for:

  • Task Assignment: When assigned to task
  • @Mentions: When mentioned in comment
  • Task Updates: When task status changes
  • Project Updates: When project changes
  • Comments: New comments on your tasks


Notification Settings


Configure in SettingsNotifications:

  • Email Notifications: Receive emails
  • In-App Notifications: See in app
  • Notification Preferences: Choose what to receive


File Sharing


Attaching Files


Share files on projects and tasks:


  1. Open Project/Task: Go to project or task
  2. Files Section: Find "Files" or "Attachments"
  3. Upload: Click "Upload" or "Add File"
  4. Select File: Choose file from computer
  5. Upload: File attached
  6. Team Access: Team can view/download


File Organization


By Project:

  • Files attached to project
  • All team members can access
  • Organized by project


By Task:

  • Files attached to specific task
  • Relevant to that task
  • Task-specific documents


Best Practices


  1. Assign Clearly: Every task should have an owner
  2. Communicate Often: Use comments to keep team informed
  3. @Mention When Needed: Tag people who need to see updates
  4. Share Files: Attach relevant documents
  5. Update Status: Keep task status current
  6. Respond Promptly: Reply to comments and mentions
  7. Use Notifications: Configure notifications appropriately


Common Collaboration Scenarios


Task Assignment


Process:

  1. Create task
  2. Assign to team member
  3. Add description of work needed
  4. Set due date
  5. Assignee notified
  6. Assignee updates status as work progresses


Asking Questions


Process:

  1. Open task
  2. Add comment with question
  3. @Mention relevant person
  4. Person receives notification
  5. Person replies in comment
  6. Discussion continues in comments


Sharing Updates


Process:

  1. Work on assigned task
  2. Update task status to "In Progress"
  3. Add comment with progress update
  4. @Mention project manager
  5. Attach work files if applicable
  6. Team stays informed


Requesting Review


Process:

  1. Complete task work
  2. Update status to "In Progress" or "Review"
  3. Add comment: "Ready for review"
  4. @Mention reviewer
  5. Attach files for review
  6. Reviewer provides feedback in comments


Troubleshooting


Not receiving notifications?

  • Check notification preferences
  • Verify email settings
  • Check spam folder
  • Verify @mention syntax


Can't assign task?

  • Verify team members exist
  • Check user has access to tenant
  • Verify permissions
  • Try different assignee


Comments not showing?

  • Refresh page
  • Check you have access
  • Verify comments are enabled
  • Check filters
