Welcome to SWELLEnterprise! This guide will help you get up and running quickly.


What is SWELLEnterprise?


SWELLEnterprise is a comprehensive business management platform that combines CRM, scheduling, finance, project management, and more into a single, powerful system. Whether you're a solo entrepreneur or a growing team, SWELL helps you manage your entire business from one place.


Your First Steps


1. Complete Your Profile


After signing up, you'll be prompted to complete your profile:


  • Name and Email: Your primary contact information
  • Company Name: Your business or organization name
  • Timezone: Important for scheduling and time-based features
  • Avatar: Add a profile picture for better team recognition



If you're new to SWELLEnterprise, we highly recommend importing sample data during onboarding. This gives you:


  • Example Contacts: See how contact records are structured
  • Sample Companies: Understand company relationships
  • Demo Projects: Learn project management workflows
  • Sample Invoices: See invoice formatting and structure
  • Example Event Types: Understand scheduling setup


To import sample data:

  1. Navigate to the onboarding page (you'll see this after signup)
  2. Click "Import Sample Data"
  3. Wait for the import to complete (you'll see a loading indicator)
  4. Explore the imported data to understand the system


Tip: You can delete sample data later if needed. It's designed to help you learn the system.


3. Activate Modules


SWELLEnterprise is modular - you can enable or disable features based on your needs. During your trial period, all modules are typically active. After trial, you can choose which modules to keep based on your subscription plan.


Available Modules:

  • CRM: Contacts, companies, leads pipeline
  • Scheduling: Appointment booking and calendar management
  • Finance: Invoices, payments, products
  • Projects: Project and task management
  • Email: Email client and marketing campaigns
  • Proposals: Create and send professional proposals
  • Contracts: Generate and manage contracts
  • Calendar: Internal calendar and events
  • Chat: Team communication
  • Files: Document management
  • HR: Employee management
  • Marketing: Email marketing campaigns
  • Workflows: Business process automation
  • Templates: Reusable document templates
  • AI Insights: AI-powered analytics


4. Set Up Your First Event Type (Scheduling)


If you offer appointments or consultations, set up your first event type:


  1. Go to SchedulingSettingsAvailability
  2. Toggle on the days you're available
  3. Set your working hours for each day
  4. Create an event type (e.g., "30-Minute Consultation")
  5. Copy your booking link and share it with clients

5. Add Your First Contact (CRM)


Start building your customer database:


  1. Go to CRMContacts
  2. Click "New Contact"
  3. Fill in basic information (name, email, phone)
  4. Optionally link to a company
  5. Add custom fields if needed
  6. Save

6. Configure Email Settings


Set up your email sending:


  1. Go to SettingsSMTP Settings
  2. Enter your SMTP credentials (host, port, username, password)
  3. Test your connection
  4. Save settings


This allows you to send emails from the system (invoices, notifications, etc.).

Understanding the Interface


Navigation Sidebar


The left sidebar provides quick access to all modules:

  • Click any module name to access that section
  • Modules are organized by category
  • Your most-used modules appear at the top


Dashboard


Each module has its own dashboard showing:

  • Quick Stats: Key metrics at a glance
  • Recent Activity: Latest items and updates
  • Quick Actions: Common tasks you can perform


Top Navigation


  • Search: Global search across all modules (Cmd/Ctrl + K)
  • Notifications: In-app notifications
  • Profile Menu: Account settings, logout


Key Concepts


Tenants (Organizations)


SWELLEnterprise uses a tenant system:

  • Each organization is a "tenant"
  • Users belong to one or more tenants
  • Data is isolated per tenant for security
  • You can switch between tenants if you belong to multiple


Users and Permissions


  • Super Admin: Full system access (typically you)
  • Admin: Full access within a tenant
  • User: Standard access with permissions
  • Guest: Limited read-only access


Custom Fields


Most modules support custom fields:

  • Add fields specific to your business
  • Use different field types (text, number, date, dropdown, etc.)
  • Customize data collection per your needs

Reminders


Set reminders on any entity:

  • Contacts, companies, leads
  • Projects, tasks
  • Invoices, proposals
  • Any other record


Reminders help you stay on top of follow-ups and deadlines.
