Email Client


Manage your email communications directly within SWELLEnterprise.


What is the Email Client?


The Email Client module lets you:

  • View Emails: See emails in your inbox
  • Send Emails: Compose and send emails
  • Organize: Organize emails with folders/labels
  • Track: Track email opens and engagement
  • Integrate: Link emails to CRM records


Setting Up Email


Connect Email Account


  1. Go to EmailSettings
  2. Click "Connect Email Account"
  3. Choose provider:
  • Gmail: OAuth connection
  • Microsoft/Outlook: OAuth connection
  • IMAP/POP3: Manual configuration
  1. Authorize connection
  2. Account connected


IMAP/POP3 Configuration


For manual setup:

  1. Select Protocol: IMAP (recommended) or POP3
  2. Enter Settings:
  • Server: IMAP server address
  • Port: Usually 993 (IMAP SSL) or 143 (IMAP)
  • Username: Your email address
  • Password: Your email password or app password
  1. Test Connection: Verify settings work
  2. Save: Account connected


Using the Email Client


Viewing Emails


Inbox:

  1. Go to EmailInbox
  2. See all emails
  3. Filter: By sender, subject, date
  4. Search: Search email content
  5. Sort: By date, sender, subject


Email List:

  • Unread: Bold unread emails
  • Read: Normal text for read
  • Starred: Important emails marked
  • Attachments: Paperclip icon for attachments


Reading Emails


  1. Click Email: Open from list
  2. View Content: See full email
  3. View Attachments: Download if attached
  4. See Thread: View conversation thread
  5. Reply/Forward: Take action


Composing Emails


New Email:

  1. Click "Compose" or "New Email"
  2. To: Enter recipient email
  3. Subject: Email subject
  4. Body: Compose message
  5. Attachments: Add files if needed
  6. Send: Send email


From Record:

  • Compose from contact/company record
  • Email address auto-filled
  • Context included
  • Link email to record


Replying to Emails


  1. Open Email: Click email
  2. Click "Reply": Reply button
  3. Compose: Type response
  4. Send: Reply sent
  5. Threaded: Reply appears in thread


Email Organization


Folders/Labels


Organize emails:

  • Inbox: New emails
  • Sent: Sent emails
  • Drafts: Saved drafts
  • Trash: Deleted emails
  • Custom: Create your own folders


Marking as Read/Unread


  • Mark Read: Click to mark as read
  • Mark Unread: Mark to keep as unread
  • Bulk Actions: Mark multiple at once


Starring Emails


Mark important emails:

  1. Click Star: Star icon on email
  2. Email Starred: Marked as important
  3. Filter Starred: View only starred emails
  4. Unstar: Click again to remove star


Email Integration


Linking to CRM


Link emails to records:

  1. Compose from Record: Email from contact/company
  2. Auto-Link: Email automatically linked
  3. View in Record: See emails in contact/company record
  4. Track Communications: Full communication history


Email Tracking


Track email engagement:

  • Opens: See when email opened
  • Clicks: Track link clicks
  • Replies: See reply status
  • Bounces: Track delivery failures


Best Practices


  1. Organize Regularly: Keep inbox organized
  2. Link to Records: Always link emails to CRM records
  3. Use Folders: Organize with folders/labels
  4. Star Important: Mark important emails
  5. Reply Promptly: Respond to emails quickly
  6. Track Engagement: Monitor open/click rates
  7. Archive Old: Archive or delete old emails


Troubleshooting


Emails not loading?

  • Check email account connection
  • Verify IMAP/POP3 settings
  • Test connection
  • Check internet connection


Can't send email?

  • Check SMTP settings
  • Verify email account
  • Test email sending
  • Check spam folder


Emails not syncing?

  • Check sync frequency
  • Manually refresh
  • Reconnect account
  • Check provider limits
